Who operates RebatePilot
KPSV Technologies LLC operates RebatePilot. This notice describes the current service and the account controls available to you.
Information you provide
We process sign-in information such as your account identifier, name and email; saved opportunities and private notes; purchase, follow-up and warranty dates; saved rules analyses; mailing-kit settings; private receipt and mailing-proof files; receipt line items, confirmed product records and saved recall-check results; optional profile name and mailing address; feedback; and email-alert preferences. Public submissions and win stories may be displayed to others when you choose to share them through those features.
How information is used
Information supports sign-in, account synchronization, analysis, personal planning, notifications, content review and support. Profile addresses are loaded into mailing layouts when you select Use saved address. Edits made only in a mailing preview are not automatically saved. Profile addresses are not sent to the AI service or published in the feed. When you check a saved vehicle for recalls, its year, make and model are sent to NHTSA; the VIN is not sent by this feature. When you select FDA food or drug checks, product name and brand search terms are sent to openFDA. When you explicitly check a saved product for recalls, its product name, brand, model or UPC may be sent to the official CPSC recall service.
Guest trials
Guest workspace drafts stay in the current page memory and are lost on navigation or refresh. Guest receipt analysis sends the selected content to OpenAI when you click Analyze. Guest recall checks send entered search terms to the chosen official provider. These requests do not create saved account records. Hosting and provider technical logging may still apply. The document-selection preview does not upload file bytes. Sign in and explicitly save to retain records; non-receipt previews are not automatically imported.
AI and documents
AI-assisted features may send the rules text, questions, and receipts you explicitly analyze to OpenAI for processing. Avoid including unnecessary personal or payment information in analysis input. A receipt scan is not saved by the scanner; after review, RebatePilot saves the merchant, purchase date, confirmed line items and products you select. Uploaded documents may be read to extract text; saved analysis history stores a text snapshot, not an archive of the original file. The separate receipts and mailing-proof library stores original files privately until deleted. Library uploads are not sent to AI unless separately selected in the receipt scanner, and are not shared publicly or virus scanned. Workspace exports include saved records and library file contents. Deleting a purchase or tracker item does not delete the independent library file. Material supplied for a shared opportunity can become public as described in that submission flow.
Service providers and external links
Hosting, authentication, email, AI and official recall-data providers process information needed for the features they support. Authorized service administrators may access records for operation, review and support. Linked sponsors and claim administrators operate separate services under their own privacy notices. Information may also need to be disclosed where legally required.
Cookies and technical information
Authentication uses session cookies, and browser storage remembers onboarding preferences. Hosting and authentication systems may record technical request information for operation and security. See Cookies & Storage for controls. This notice does not claim that all third-party logging or retention is disabled.
Your controls
Use Profile to edit or remove saved name/address, download a workspace copy or delete your account. Individual saved analyses, purchases, library documents and tracker records can be removed in their respective screens. Products can be archived or restored; full individual receipt deletion is not yet available. The workspace download is not a complete export of every account or public-content record. Email preferences are available in Notifications.
Retention and deletion limits
Saved records remain until removed through the service or account deletion. Account deletion removes active account data and revokes server sessions. Protected backups are not immediately erased, and copies previously saved by other members or downloaded to devices may remain. A fixed backup-retention period has not yet been established; immediate erasure of all historical copies is not promised.

Visit Contact to ask about privacy, access, corrections or deletion. Do not include passwords, identity documents, payment details or unnecessary sensitive information in feedback. Applicable privacy rights depend on your location and circumstances; this notice does not limit those rights.
